At EarneyIT, we believe that you should always have full access to your company's IT information. Unlike many IT providers who may not offer documentation as part of their services, we make it a core part of ours. Often, other providers document things in a way that works for them—not for you. This can leave your company in the dark, especially during transitions or emergencies.

Here’s how IT documentation usually goes with different providers:

Option 1 – “One Man Shop”

If your IT support is just one person—a "guy in a truck"—they might store all the critical information about your systems in one place: their head. This creates a big risk for your business. What happens if your IT person is unavailable, injured, or worse? Without proper documentation, switching to a new provider could be painful and costly. Recovering lost access to systems would take time, causing major disruptions.

Option 2 – “IT Company”

If you have a more established IT company, they might store your information in Excel, Word documents, or an online tool. But do they share that documentation with you? And if so, how up-to-date is it? There are still risks such as:

  • What if the document becomes corrupted or outdated?
  • What if you need to change IT providers and your current provider withholds the information?

We’ve seen cases where a smooth relationship with an IT provider suddenly changes the moment you give notice of switching to a new provider. Communication can drop off, and requests for critical documents might be ignored or only half-answered.

Even if you have a copy of the documentation, it’s important to ask: How recent is it? If it’s more than a month old, it could be missing important updates, such as password changes or new devices added.

Option 3 – “A Real Managed Service Provider”

At EarneyIT, we have a simple belief: We manage your technology, but it is still YOUR technology. This means you have full access to the same up-to-date documentation we use.

When we update your Microsoft 365 admin credentials or add instructions for fixing common issues, you see the changes right away in our online documentation portal. This transparency ensures you always have “The Keys to the Kingdom,” with nothing hidden from you—whether intentionally or unintentionally.

While we’re confident you’ll be happy with our services, we know that having access to your data is critical, no matter the circumstances.
